Taxscribe Privacy Policy
Last updated September 16, 2026
About This Privacy Policy
This Privacy Policy describes how Reason Consulting Corporation ("Company," "we," "us," or "our"), a corporation registered in North Carolina, United States, with its principal office at 2820 Selwyn Ave, STE 856, Charlotte, NC 28209, United States, collects, uses, shares, and protects information when you visit our website at https://www.taxscribe.com (the "Website"), use the Taxscribe web application made available through it, or otherwise communicate with us about Taxscribe (together with any related tools, integrations, application programming interfaces, documentation, and support, the "Services").
Taxscribe is a tax listing and data management platform offered in two editions. Taxscribe Pro lets tax professionals and firms, businesses, and high-volume filers prepare, manage, and electronically submit business personal property listings, extension requests, and related filings and schedules to participating state and local tax jurisdictions. Taxscribe Gov lets those jurisdictions receive, review, manage, and export the listings and filings submitted to them and manage their listing data. Because of that, the people who hold accounts are of two kinds. Pro account holders are businesses, tax professionals, and their staff. Gov account holders are the employees, officials, and contractors of government entities. This Privacy Policy addresses two different kinds of information. Sections 1 through 3 describe the information we collect about you as a visitor to the Website or as an account holder of either kind, which we hold for our own purposes. Section 4 describes the records our customers submit to the Services, which we process only on their behalf.
This Privacy Policy is incorporated into our Terms and Conditions, which are posted on the Website. Capitalized terms that are not defined here have the meanings given in the Terms and Conditions. Where your organization has entered into a signed written agreement or an accepted ordering document with us, including a Data Processing Addendum, that agreement controls over this Privacy Policy to the extent of any conflict about how we handle the records your organization submits.
If you have questions about this Privacy Policy, or if you do not agree with it, please contact us at contact@reason.consulting before using the Services.
Summary of Key Points
This summary gives the key points of this Privacy Policy in brief. Each point is explained in more detail in the numbered sections below.
- We collect a limited amount of personal information about the people who visit the Website and hold accounts, such as name, work email address, job title, employer or agency, phone number, account credentials, billing contact details, and the messages you send us.
- We collect some information automatically when you use the Website and the Services, such as log data, device and browser information, and analytics data gathered through cookies and similar technologies, as described in our Cookie Policy.
- Pro account holders purchase Credits by payment card, and those payments are processed by Stripe, Inc.; we do not receive or store full card numbers. Gov customers are invoiced, and no card data is collected from them. We do not request precise geolocation from your device, and we do not collect sensitive personal information about visitors or account holders.
- We use your information to provide and support the Services, to administer accounts, Credit purchases, and invoicing, to transmit the filings you direct us to deliver, to communicate with you, to secure the Services, to understand how the Website is used, and to comply with law.
- We share personal information with service providers who help us operate the Services under contract, including Stripe as our payment processor, with the participating jurisdictions to which you direct filings, when the law requires it, and in connection with a business transfer that carries our commitments forward.
- We do not sell personal information, and we do not share it for cross-context behavioral advertising. We have not sold or shared personal information in the preceding twelve (12) months and do not do so.
- The records our customers submit to the Services, including the listings, schedules, and client information that professional filers enter and the filings that jurisdictions receive, are Customer Data. We process them only on the customer's instructions as a service provider, we keep them confidential, we do not sell them, we do not use them for advertising or marketing, and we do not use them, or any data derived from them, to train or improve models, scoring methods, or products.
- Some features send Customer Data to third-party model providers to generate outputs. Those providers are listed on our subprocessor list, are engaged under zero-data-retention terms, may not use Customer Data to train their models, and do not retain it after the request is processed.
- Customer Data, and information derived from it, is never used in, disclosed for, or made available to any audit engagement or audit bid of Company or its affiliates, except as law requires or as the customer that controls the Customer Data directs or consents in writing. Delivering a filing to the jurisdiction you designate is not a disclosure by us to an affiliate, and the firewall also covers the account and usage records that show who files and when.
- We keep account and contact information for the life of the account and for as long afterward as we need it for the purposes described in Section 6, generally no more than three (3) years after the account closes. We keep a Pro account holder's filing records while the account is open so that prior-year filings remain available, and we return and then delete Customer Data on the schedule described in Section 6.
- We maintain reasonable administrative, technical, and physical safeguards, but no system is perfectly secure.
- The Services are not directed to anyone under eighteen (18) years of age.
- You can ask to access, correct, or delete the personal information we hold about you by using https://reason.consulting/contact/ or by emailing contact@reason.consulting, and we will not discriminate against you for doing so.
- The Services are hosted and processed in the United States.
1. What Information Do We Collect
Personal Information You Provide to Us
We collect personal information that you voluntarily provide when you request information about Taxscribe, register for an account, are provisioned as an Authorized User by your organization, purchase Credits, contact us for support, or otherwise communicate with us. The personal information we collect depends on how you interact with us and may include the following.
- Your name.
- Your work email address.
- Your job title and role.
- The business, firm, government entity, agency, department, or other employer you work for or represent.
- Your work phone number.
- Account credentials, such as a username and password, and related security information used to protect your account, including any application programming interface keys issued to your account.
- Billing and purchasing contact information for your organization, such as the name, title, email address, phone number, and mailing address of the people who handle invoices and purchase orders, and the purchase order number your procurement rules require.
- For Pro account holders, the billing name and address and the payment confirmation details described under Payment Data below.
- The contents of the support requests, feedback, and other communications you send us, together with any information you choose to include in them.
All personal information you provide to us must be true, complete, and accurate, and you must notify us of any change to it.
Sensitive Information
Other than the account credentials you use to sign in, we do not collect sensitive personal information about visitors to the Website or about account holders, such as racial or ethnic origin, religious beliefs, health information, genetic or biometric data, sexual orientation, citizenship or immigration status, or government identification numbers. Please do not include information of this kind in support requests, feedback, or other communications with us. Taxpayer identification numbers that appear in the listings and filings a customer submits are Customer Data, described in Section 4, and are not information we collect about you as an account holder.
Payment Data
Pro Customers purchase Credits through the Website by payment card. Card payments are processed by Stripe, Inc. ("Stripe"), and we do not receive or store your full card number. When you purchase Credits, Stripe collects your card number, expiration date, security code, and billing details directly through its checkout element, under Stripe's own privacy policy, which is available at https://stripe.com/privacy. We receive from Stripe a confirmation of the transaction, the last four digits of the card, the card brand, and the billing name and address you provided, which we keep so that we can issue receipts, maintain records of the Credits purchased, and respond to billing questions and disputes. Taxscribe Gov is sold to government entities by invoice or purchase order through the entity's procurement process, payments are made by the methods described in the Terms and Conditions or your organization's ordering document, and no card data is collected. We collect billing contact information so that we can issue invoices and communicate with your organization's purchasing and accounts payable staff.
Geolocation
We do not request precise geolocation from your device or browser. The business address, situs, and location information that appears within the Services is Customer Data submitted by or for our customers, described in Section 4, and is not information about where you are.
Information Automatically Collected
We automatically collect certain information when you visit, use, or navigate the Website and the Services. This information does not reveal your specific identity by itself, but it may include your device and browser characteristics, operating system, language preferences, referring website addresses, the pages and features you view or use, the dates and times of your activity, and your internet protocol address and the general region it maps to. We collect this information through server logs and, on the public pages of the Website, through analytics cookies as described in Section 5 and in our Cookie Policy. No third-party analytics, tag-management, session-replay, or advertising script runs within the signed-in Taxscribe application, and no Customer Data or record identifier is transmitted to any analytics provider. The Stripe checkout element loads on the pages where Pro Customers purchase Credits, and Stripe sets its own cookies on those pages for fraud prevention, as described in Section 5 and in our Cookie Policy. We use this information to keep the Services secure and operating, to understand how the Website is used, and for our internal analytics and reporting.
- Log and usage data, such as the pages you visit, the features you use, the filings submitted and Credits consumed under your account, error reports, and the date, time, and duration of your activity.
- Device data, such as your browser type and version, operating system, screen resolution, and device identifiers assigned by your browser.
- Analytics data about the public pages of the Website collected through analytics cookies, as described in our Cookie Policy.
2. How Do We Process Your Information
We process the personal information described in Section 1 for the following purposes.
- To create, administer, and secure your account and to authenticate you and your organization's Authorized Users.
- To provide, operate, maintain, and support the Services, including transmitting the filings you direct us to deliver to a jurisdiction, relaying the jurisdiction's acknowledgments and correspondence to you, and responding to your support requests.
- To process Pro Customers' purchases of Credits through Stripe, to issue receipts, to maintain records of Credits purchased and consumed, and to respond to billing questions, refund requests, and payment disputes.
- To administer your organization's subscription or ordering document, including preparing quotes, issuing invoices, processing purchase orders, and communicating with your organization's purchasing staff.
- To send you administrative and service communications, such as notices about changes to the Services or to our legal terms, security alerts, maintenance notices, purchase and filing confirmations, and responses to your inquiries.
- To respond to your questions about Taxscribe and, where you have asked us to or where you hold a Pro account, to tell you about features, updates, and events related to the Services, from which you may unsubscribe at any time as described in Section 9.
- To monitor and protect the security, integrity, and availability of the Services, including detecting, preventing, and investigating security incidents, payment fraud, and misuse.
- To understand how the Website and the Services are used so that we can improve them.
- To comply with applicable law, respond to lawful requests, and establish, exercise, or defend legal claims.
We do not use your personal information for automated decision-making that produces legal or similarly significant effects on you.
3. When and With Whom Do We Share Your Information
We share personal information in the following circumstances.
Service Providers
We share personal information with third-party vendors and service providers who perform services for us and who need the information to do so. These include providers of cloud hosting and infrastructure, payment processing, website analytics, email delivery, customer support and ticketing tools, and similar business services. Our service providers are bound by written contracts that require them to keep the information confidential, to use it only to provide services to us, and to protect it appropriately.
Payment Processor
Card payments for Credits are processed by Stripe, which acts as a payment processor and collects your card and billing details directly, as described in Section 1. Stripe uses that information to process the payment, to prevent and detect fraud, and to meet its own legal obligations, under its privacy policy at https://stripe.com/privacy. We share with Stripe the information needed to complete and reconcile a transaction, such as the amount, the account identifier, and your email address for receipts.
Participating Jurisdictions
When you or your Authorized Users submit a filing through the Services, you direct us to deliver that filing and its contents to the jurisdiction you designate. The filing may include your name, contact information, and, where you file on behalf of a client, your identification as the preparer or filer. We also confirm to the jurisdiction that a filing was submitted and when, and relay the jurisdiction's acknowledgments, rejections, and correspondence to you. The jurisdiction receives and holds the filed record under its own law. Section 4 describes this in more detail.
Legal Requirements
We may disclose personal information where we believe in good faith that disclosure is required by law, regulation, legal process, or a governmental request, or is necessary to protect the rights, property, or safety of Company, our customers, or others, or to enforce our legal terms. Where the law permits and it is practicable, we will give you or your organization notice of a legal demand for information before we respond to it.
Business Transfers
We may share or transfer personal information in connection with a merger, acquisition, financing, reorganization, or sale of all or a portion of our business or assets. Any successor will be bound by the commitments in this Privacy Policy and in the Terms and Conditions with respect to the personal information and Customer Data it receives, and we will notify affected customers of any such transfer.
Affiliates and Others
We do not share personal information with our affiliates. Our affiliates are separate corporate entities that do not have access to our systems or data, and we do not share your contact information with an affiliate so that it can market its own services to you or your organization. We may share your information with your consent or at your direction. The Data Firewall described in Section 4 applies to Customer Data.
No Sale or Sharing for Advertising
We do not sell personal information, and we do not share personal information for cross-context behavioral advertising or targeted advertising. The Website uses analytics services but does not use advertising pixels or similar advertising technologies. We have not sold or shared personal information in the preceding twelve (12) months and do not do so.
4. Information We Process on Behalf of Our Customers
This Section describes the records our customers submit to the Services. It applies in addition to Section 8 of the Terms and Conditions and to any Data Processing Addendum or other written agreement between us and a customer, which control over this Section to the extent of any conflict.
What Customer Data Is
Our customers are of two kinds. Pro Customers are businesses that file for themselves and tax professionals, firms, and other organizations that file on behalf of their clients. Gov Customers are state and local tax jurisdictions that receive those filings. In the course of using the Services they submit, upload, import, generate, or process records that we call "Customer Data." For a Pro Customer, Customer Data includes business personal property listings, extension requests, schedules, fixed-asset and depreciation data, business identifying information, taxpayer identification numbers as they appear in listings, the client information a professional filer enters, supporting documents, jurisdiction correspondence and determinations relating to the customer's filings, and the outputs the Services generate from that information for the customer. For a Gov Customer, Customer Data includes the listings and filings it receives from filers, its own listing, account, and assessment records, notes, determinations, and exports, and the outputs the Services generate for it. Customer Data may contain personal information about taxpayers, business owners, a professional filer's clients, and other individuals who are not users of the Services. Much of it is confidential tax information under state and federal law once it is filed.
Our Role
We process Customer Data as a service provider to the customer that submitted it, and only on that customer's instructions, as set out in the Terms and Conditions and the customer's ordering document. As between us and the customer, the customer retains all right, title, and interest in Customer Data, and we acquire no ownership interest in it. The customer, not Company, determines what Customer Data is submitted to the Services, to which jurisdictions its filings are sent, how long it is retained, who may access it, and how it is used in the customer's own filing, listing, assessment, audit, discovery, and collection functions. A professional filer represents to us that it is authorized by its clients to submit the client's information and to receive jurisdiction communications about it.
Confidentiality and Limits on Our Use
Customer Data is the customer's confidential information. We recognize that Customer Data includes tax listings, returns, filings, and taxpayer information that is confidential under state and federal law, including records subject to the confidentiality provisions of state revenue and property tax statutes. We will not disclose Customer Data except to the customer's Authorized Users, the recipients the customer designates, and the jurisdictions to which the customer directs filings, to our service providers who access Customer Data only to help us provide the Services and who are bound by written confidentiality and data protection obligations no less protective than these or, for an infrastructure, payment, or model provider whose terms are not individually negotiable, that we have reasonably determined provide substantially equivalent protection, as required by law, subpoena, or court order, in which case we will give the customer prompt notice where legally permitted so that it may seek a protective order, or with the customer's written consent. We do not sell Customer Data. We do not use Customer Data for advertising or marketing. We do not use Customer Data, or any data derived from it, to train, tune, or improve any third-party or general-purpose model, and we do not use one customer's Customer Data to configure, tune, or improve the Services for any other customer. We may use a customer's Customer Data to configure and tune the prompts, settings, and features the Services use for that customer's own account; that use is part of providing the Services to the customer and its results are used only for that customer. Where features of the Services use third-party artificial intelligence model providers, we engage them only under zero-data-retention terms: they receive Customer Data only in the requests we make to them, may not use it to train or improve their models, and do not retain it after the request is processed. We may also disclose Customer Data to the extent reasonably necessary to establish, exercise, or defend legal claims, subject to protective measures appropriate to confidential tax information.
Reserved Right to Review
Our personnel cannot view Customer Data through the Services unless the customer's designated administrator invites our support personnel into the customer's account, which the customer controls and may revoke at any time. Apart from that, access to Customer Data is limited to a small number of United States-based production engineers with privileged database access, used only as reasonably necessary to protect the security, integrity, and availability of the Services and their users or to restore them, or as the Terms and Conditions otherwise permit. We verify compliance with license limits and our legal terms through account and usage metadata rather than by reviewing the content of Customer Data. Privileged database access is logged, and any such access is subject to the confidentiality obligations described in this Section and is limited to what is reasonably necessary for the stated purpose.
Filings You Submit to a Jurisdiction
When a customer or its Authorized Users submit a filing through the Services to a jurisdiction, the customer directs us to deliver that filing and its contents to that jurisdiction, and the jurisdiction receives and holds the filed record under its own law, including its public records, confidentiality, and retention laws. That delivery is a disclosure the customer has directed and not a sale or a breach of confidentiality. After delivery, the jurisdiction's copy of the filed record is that jurisdiction's Customer Data where it is a Gov Customer, and is otherwise outside the Services, and the filer's own copy of the filing remains the filer's Customer Data. We may confirm to a jurisdiction that a filing was submitted and when, and may relay the jurisdiction's acknowledgments, rejections, and correspondence to the filer, as part of providing the Services. We are not responsible for a jurisdiction's handling of a filing after delivery. If you are an individual whose information appears in a filed record and you wish to exercise rights regarding it, please direct your request to the jurisdiction that received the filing, which controls the filed record under the law that applies to it. If your request concerns the records a professional filer keeps about you as its client, please direct it to that filer, who is your own tax professional and controls those records.
Data Firewall
Company is affiliated with a firm that provides audit, discovery, valuation, and related professional services to government entities, as disclosed in Section 25 of the Terms and Conditions. Company and each affiliate are separate corporate entities, and neither has access to the other's data or systems. For purposes of this Privacy Policy, "affiliate" means the firm described in Section 25 of the Terms and Conditions and any entity that controls, is controlled by, or is under common control or common majority ownership with Company. Customer Data, and any information derived from it, including de-identified or aggregated information and the fact that any business, taxpayer, or filer has or has not filed, amended, or requested an extension through the Services, will not be used in, disclosed for, or made available to any audit engagement, audit bid, proposal, or other professional services engagement of Company or any affiliate, except as required by law, as the customer that controls the Customer Data directs in a writing signed by its authorized representative rather than an individual Authorized User, or with that customer's written consent given in the same manner. A jurisdiction receives the listing a filer files with it whatever channel the filer uses, and the Data Firewall governs our copy of it and our systems. Delivery of a filing to the jurisdiction the customer designates, as described above, is therefore not a disclosure by us to an affiliate. Where a jurisdiction engages an affiliate as its contract auditor, any access the affiliate has to filed records is granted by the jurisdiction under its own law and controls, not by us, and we will not provide an affiliate, through Taxscribe Pro, through Account Information, Credit, or usage records, or otherwise, with any information about a filer or a filing that the jurisdiction would not itself have received from the filing. Professional services that Company itself performs for a customer in connection with the Services under its ordering document, such as implementation, data migration, configuration, and training, are not restricted by this paragraph. Access that a customer itself grants to affiliate personnel by provisioning them as its Authorized Users is under the customer's control and is not a disclosure by us. We maintain administrative and technical controls to enforce this restriction, described in the Data Processing Addendum.
AI-Assisted Features and Third-Party Model Providers
Some features of the Services use artificial intelligence and machine learning models, including models provided by third parties, to assist the customer's users, for example by matching and classifying assets and records, flagging anomalies, summarizing information, and drafting text. When a user uses one of these features, the Services send the Customer Data needed for that task, including the user's prompt, to a third-party model provider to generate the output, and the output is returned to the customer as Customer Data. Each model provider we use is listed on our subprocessor list and is engaged only under zero-data-retention terms: it receives Customer Data only in the requests we make to it, may not use Customer Data to train or improve its models, does not retain Customer Data after the request is processed, and processes it in the United States, as the Data Processing Addendum provides. We do not use Customer Data to train or improve any third-party or general-purpose model, and we configure and tune the Services only for the customer whose data is used. Outputs of these features are decision support for the customer's users, who remain responsible for any decision taken on them, and we do not use these features to make decisions about individuals whose information is contained in Customer Data. If you are a taxpayer, business owner, or other individual and you wish to exercise rights regarding records processed through these features, please direct your request to the customer that submitted the information, as described below under Requests From Individuals About Customer Data.
Government Records
Where Customer Data consists of records submitted by, on behalf of, or to a government entity, we hold those records as a service provider to that entity. Nothing in this Privacy Policy transfers custody or control of public records away from the entity that owns or is responsible for them under applicable law. Customer Data that constitutes public records under the customer's law remains subject to that entity's public records, record retention, and confidentiality laws, and we will reasonably cooperate with the customer, at its request, in responding to public records requests, litigation holds, and record retention requirements that apply to Customer Data in our possession.
Requests From Individuals About Customer Data
If you are a taxpayer, business owner, client of a professional filer, or other individual whose information is contained in Customer Data and you wish to access, correct, delete, or otherwise exercise rights regarding that information, please direct your request to the customer that submitted the information, because that customer controls the record and is responsible for responding under the law that applies to it. For a record that has been filed with a jurisdiction, that is the jurisdiction that received the filing; for the records a professional filer keeps about its clients, that is the filer. We are not permitted to act on Customer Data except on the customer's instructions. If you contact us with such a request, we will refer you to the relevant customer where we are able to identify it, and we will assist the customer in responding to your request as it directs.
5. Do We Use Cookies and Other Tracking Technologies
We use cookies and similar technologies to operate the Website and the Services, to keep you signed in, to keep the Services secure, and to gather analytics about how the public pages of the Website are used. The Website uses analytics cookies on its public pages only and does not use advertising cookies or pixels. On the pages where Pro Customers purchase Credits, Stripe sets its own cookies to prevent and detect payment fraud; these are essential to processing your payment securely and are described in our Cookie Policy and in Stripe's privacy policy at https://stripe.com/privacy. Specific information about the cookies we use, who sets them, how long they last, and how you can control them is set out in our Cookie Policy, which is posted on the Website.
The Website does not currently display a cookie consent banner; if we introduce one, you will be able to use it to accept or decline non-essential cookies and to change your choices later. You can control cookies through your browser settings, although disabling some cookies may affect how the Website and the Services function. Because the Website does not use advertising cookies or pixels, our use of cookies does not involve the sale or sharing of personal information.
6. How Long Do We Keep Your Information
Account and Contact Information
We keep the personal information described in Section 1 for as long as you or your organization hold an account with us and for as long afterward as we need it to meet our obligations to your organization, to maintain business records, including records of Credit purchases and payments, and to establish, exercise, or defend legal claims, which is generally no more than three (3) years after the account is closed, unless a longer retention period is required by applicable law or a legal hold. When we no longer have a need to retain your personal information, we delete it or de-identify it, or, if that is not possible because the information is held in backup archives, we securely store it and isolate it from further processing until deletion is possible.
Customer Data
We retain Customer Data for the term of the customer's account or subscription and process it as the customer instructs. For a Pro Customer, that means we retain the customer's filing records for as long as its account remains open, so that the customer can access and export its prior-year filings, and the customer may export its Customer Data at any time during the term using the export functions we make available. For sixty (60) days after termination or expiration of the customer's account or subscription, the customer may request, and we will provide, a copy of its Customer Data in a commonly used electronic format. We do not delete Customer Data during that window or while a request made within it is pending. After that window, we remove Customer Data from our live systems within ninety (90) days after the customer requests removal in writing; otherwise we retain it, which for a retired account may be in offline or archival storage, for up to seven (7) years after the subscription ends and then delete it, in each case subject to applicable law, any legal hold, any record retention obligation the customer has notified us of in writing, and the customer's ordering document. Our backups are immutable and are retained for seven (7) years; Customer Data in backups is not restored to a live environment except to recover the Services or as law or a legal hold requires. The copy of a filing that a jurisdiction holds after delivery is retained by that jurisdiction under its own law and, where the jurisdiction is a Gov Customer, as that customer's Customer Data. Our confidentiality obligations continue for as long as we retain any Customer Data.
7. How Do We Keep Your Information Safe
We maintain reasonable administrative, technical, and physical safeguards designed to protect the security, confidentiality, and integrity of the personal information and Customer Data we hold, taking into account the sensitivity of the information and the nature of the Services. A description of our security practices is provided in the Security Overview posted on the Website, and additional security commitments may be stated in a customer's ordering document or Data Processing Addendum.
No method of transmission over the internet or method of electronic storage is perfectly secure, and we cannot guarantee that unauthorized third parties will not be able to defeat our safeguards. You are responsible for keeping your account credentials and application programming interface keys confidential and for notifying us promptly at contact@reason.consulting if you become aware of any unauthorized use of your account. You should access the Services only from a secure environment.
8. Do We Collect Information From Minors
The Website and the Services are directed to businesses, tax professionals, and government entities and their Authorized Users and are not directed to persons under eighteen (18) years of age. We do not knowingly collect personal information from anyone under eighteen (18). If we learn that we have collected personal information from a person under eighteen (18), we will deactivate the related account and delete the information promptly. If you become aware of any information we may have collected from a person under eighteen (18), please contact us at contact@reason.consulting.
9. What Are Your Privacy Rights
Depending on where you live, you may have some or all of the following rights with respect to the personal information we hold about you as a visitor or account holder. We honor these requests as the law requires and, where we reasonably can, as a matter of practice regardless of where you live.
- The right to know whether we process your personal information and to access a copy of it.
- The right to correct inaccurate personal information.
- The right to request deletion of your personal information, subject to legal exceptions.
- The right to obtain a portable copy of the personal information you provided to us.
- The right to opt out of the sale or sharing of personal information, targeted advertising, and profiling in furtherance of decisions that produce legal or similarly significant effects, where those activities occur. We do not engage in them.
- The right not to be discriminated against for exercising your rights.
How to Exercise Your Rights
You may exercise your rights by submitting a request through https://reason.consulting/contact/ or by emailing contact@reason.consulting. Please tell us which right you wish to exercise and give us enough information to locate your records, such as the email address associated with your account.
Verification
Before we act on a request, we will take reasonable steps to verify that you are the person the request concerns, or that you are authorized to act for that person. We will generally do this by matching the information you provide against information already in our records, such as confirming the request through the work email address associated with your account. We will use information you provide for verification only for that purpose.
Authorized Agents
Where the law permits, you may designate an authorized agent to make a request on your behalf. We may require the agent to provide proof of your written authorization, and we may require you to verify your identity directly with us or to confirm that you gave the agent permission to act.
Response Timing
Where the law requires it, we will respond to a verified request within forty-five (45) days of receiving it. If we need more time, we will inform you of the reason and extend our response period once by an additional forty-five (45) days. If we decline to act on a request in whole or in part, we will tell you why and, where the law provides for it, how to appeal our decision. We will not charge a fee for responding to a request unless it is manifestly unfounded, excessive, or repetitive, in which case we may charge a reasonable fee or decline to act, as the law permits.
No Discrimination
We will not discriminate against you for exercising your privacy rights. We will not deny you the Services, charge you a different price, provide a different level or quality of service, or suggest that any of these things may happen because you exercised your rights.
Account Information and Withdrawing Consent
If you want to review or change the information in your account, you can sign in and update your account settings, or you can contact us using the details above. If your access to the Services is provisioned by your organization, some changes may need to be made by your organization's administrator. Where processing is based on your request or permission rather than on our contract with your organization or a legal requirement, you may ask us to stop by contacting us, although this will not affect processing that took place before then. Pro Customers may receive emails from us about product features, updates, and events related to the Services. You may opt out of these and other non-essential communications from us by following the unsubscribe instructions in the message or by contacting us, but we will continue to send you administrative and service messages that are necessary to operate your account, such as purchase receipts, filing confirmations, and jurisdiction correspondence.
Complaints
If you believe we have handled your personal information unlawfully, you may contact us at contact@reason.consulting, and we will work with you to resolve the issue.
10. Controls for Do-Not-Track Features
Most web browsers and some mobile operating systems include a Do-Not-Track feature or setting you can activate to signal your preference not to have data about your online browsing activities monitored and collected. No uniform technology standard for recognizing and implementing Do-Not-Track signals has been finalized, and we do not currently respond to Do-Not-Track browser signals. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Policy. Because the Website does not sell or share personal information, we are not required to and do not process opt-out preference signals as requests to opt out of sale or sharing, but we describe our practices here for transparency.
11. Do United States Residents Have Specific Privacy Rights
Residents of States With Comprehensive Privacy Laws
If you are a resident of California or of another state that has enacted a comprehensive consumer privacy law that is in force and applies to us, you may have the rights described in Section 9, including the rights to know, access, correct, delete, and obtain a portable copy of your personal information, the right to opt out of the sale or sharing of personal information, targeted advertising, and certain profiling, and the right to appeal a decision we make about your request. You may exercise these rights, and appeal a decision, by contacting us through https://reason.consulting/contact/ or at contact@reason.consulting. We describe our verification, authorized agent, response timing, and non-discrimination practices in Section 9.
Business Contact Information and Government Employees
Most of the personal information we hold about visitors and account holders is business contact information about employees, officers, and contractors of businesses and tax and accounting firms, and about employees, officials, and contractors of government entities, collected in the course of providing the Services to those organizations in a business-to-business or business-to-government context. Several state privacy laws exclude or limit their application to information collected in that context, to information processed on behalf of government entities, or to the government entities themselves, and some do not apply to us because of the size of our business or the volume of personal information we process. Where an exemption applies, the rights described in this Section may not be available to you as a matter of law. We will nonetheless honor reasonable requests to access, correct, or delete your business contact information as a matter of practice, subject to our contractual and legal obligations to your organization.
Categories of Personal Information We Collect
The following list describes the categories of personal information defined in California law that we have collected about visitors and account holders in the preceding twelve (12) months. It is consistent with the collection lists in Section 1. Customer Data is addressed separately in Section 4 and is not described here because we process it only as a service provider.
- Category: Identifiers. Examples: Name, work email address, work phone number, username, internet protocol address, and online identifiers assigned by your browser. Collected: YES.
- Category: Personal information as defined in the California Customer Records statute, California Civil Code section 1798.80. Examples: Name, contact information, employer, and, for Pro account holders, the billing name and address and last four digits and brand of the card used to purchase Credits. Collected: YES.
- Category: Protected classification characteristics under state or federal law. Examples: Age, race, national origin, gender, disability, and similar characteristics. Collected: NO.
- Category: Commercial information. Examples: Records of personal property, products or services purchased, and purchasing histories of individuals. Collected: YES, for Pro account holders, limited to records of the Credits purchased and the filings submitted under the account.
- Category: Biometric information. Examples: Fingerprints, faceprints, and voiceprints. Collected: NO.
- Category: Internet or other similar network activity. Examples: Browsing history within the Website, interaction with the Website and the Services, and analytics data collected through cookies. Collected: YES.
- Category: Geolocation data. Examples: Precise device location. Collected: NO.
- Category: Sensory data. Examples: Audio, electronic, visual, thermal, olfactory, or similar information. Collected: NO.
- Category: Professional or employment-related information. Examples: Job title, role, and the business, firm, government entity, agency, or employer you work for or represent. Collected: YES.
- Category: Education information. Examples: Student records and directory information. Collected: NO.
- Category: Inferences drawn from other personal information. Examples: Profiles reflecting preferences, characteristics, behavior, or attitudes. Collected: NO.
- Category: Sensitive personal information. Examples: Government identification numbers, account log-in credentials, precise geolocation, racial or ethnic origin, religious beliefs, health information, sexual orientation, and the contents of mail, email, or text messages where we are not the intended recipient. Collected: YES, limited to the account log-in credentials used solely to authenticate you to the Services.
The commercial information category is marked as collected for Pro account holders because we keep records of the Credits purchased and the filings submitted under a Pro account; we do not receive or store full payment card numbers, which Stripe collects and holds. For Gov account holders it is not collected, because we invoice government entities rather than individuals and do not maintain purchasing histories about individual people. We collect account log-in credentials only to authenticate you and do not use or disclose them for any purpose that would give rise to a right to limit under California law.
Sources, Purposes, and Recipients
We collect the categories of personal information marked above directly from you, from your organization when it provisions your account, from Stripe when it confirms a payment, and automatically through the Website and the Services as described in Section 1. We use them for the purposes described in Section 2 and disclose them for business purposes to the categories of service providers described in Section 3 and, where a filing includes them, to the jurisdiction you direct the filing to. We do not sell any category of personal information, and we do not share any category of personal information for cross-context behavioral advertising. We do not have actual knowledge that we sell or share the personal information of consumers under sixteen (16) years of age. We do not use or disclose sensitive personal information for purposes that would require us to offer a right to limit its use.
California Residents
If you are a California resident, you have the right to request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources from which we collected it, our business or commercial purposes for collecting it, and the categories of third parties with whom we have disclosed it. You also have the right to request correction of inaccurate personal information, the right to request deletion of your personal information subject to legal exceptions, the right to opt out of sale or sharing, the right to limit the use of sensitive personal information, and the right not to be discriminated against for exercising these rights. Because we do not sell or share personal information and do not use sensitive personal information for purposes that require a right to limit, we do not offer opt-out or limit links on the Website. You may exercise your other rights, or designate an authorized agent to do so, as described in Section 9. California residents under eighteen (18) years of age who are registered users of a website may request removal of content they posted; the Services do not offer posting features, and we do not knowingly permit users under eighteen (18).
California residents may also request, once per calendar year, information about any personal information we disclosed to third parties for their direct marketing purposes in the preceding calendar year. We do not disclose personal information to third parties for their direct marketing purposes.

If we make material changes, we will notify you by posting a prominent notice on the Website or within the Services or by sending an email to the address associated with your account. We encourage you to review this Privacy Policy periodically so that you stay informed about how we protect your information.
